Administrative Sales and PM Assistant

Location: Latham NY and Remote.
Type: Part-Time, Full-Time and Flexible options.
Reports To: Sales Manager / Business Development Director

Position Summary: We are seeking a highly organized and detail-oriented Administrative Sales Assistant to support our sales team and contribute to the smooth execution of the sales process. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and is eager to help streamline operations that drive revenue growth.

Key Responsibilities

  • Lead Support: Help monitor inbound lead activity, conduct light research on prospects, and assist with lead generation efforts through outreach tools and databases.
  • Client Correspondence: Assist with drafting and sending introductory emails, follow-ups, and other client-facing communications to support the sales process.
  • Mailing Coordination: Organize and manage outbound mailing campaigns, including assembling materials, tracking delivery, and logging responses.
  • Project Management: Assist our project manager with monitoring open projects and communicating with clients and staff.
  • Sales Event Support: Help coordinate logistics for sales outreach events, including scheduling, materials preparation, RSVPs, and post-event follow-up.
  • CRM Updates: Source, enter and maintain accurate contact records in the CRM system to ensure timely follow-up and reporting.
  • Communication Monitoring: Monitor company inboxes or platforms for sales inquiries and direct them appropriately.
  • Team Coordination: Support the sales team with administrative tasks and scheduling to ensure timely progress through the sales pipeline.

Qualifications:

  • 2+ years of experience in an administrative, sales support, or customer service role
  • Strong organizational and time management skills
  • Proficiency in word processing and CRM tools (experience with HubSpot a plus)
  • Excellent verbal and written communication skills
  • Detail-oriented with a high level of accuracy and accountability
  • Ability to manage multiple priorities and work independently

  • Familiarity with sales pipelines and marketing tools
